Our Melbourne office is currently seeking a committed and capable Office Manager to lead operations, support our dynamic team, and help drive growth across our local and international branches.

Key Responsibilities

Key Responsibilities

Office & Staff Management

  • Oversee office operations, ensuring smooth delivery of services in logistics, HR, and scheduling.
  • Monitor daily functions such as phone and calendar management, business insurance, and transaction oversight for client accounts.
  • Provide direct support to team members and supervisors; ensure workforce planning, timely recruitment, and coordination with HR.

Client Records & Reporting

  • Coordinate with Education Team & Migration Team for student and migration client records, track conversions, and report to the Accounts team for invoicing and financial reporting.
  • Ensure client files are consistently uploaded to the CRM system; provide quarterly performance reports to senior management.

Payroll & HR Support

  • Track attendance, assist with payroll finalization, and resolve discrepancies with the Accounts team.
  • Handle staff performance reports, pay-rise requests, and coordinate performance evaluations.

Finance & Reconciliation

  • Check with the account team for income and expense receipts, ensure all cash received is deposited into the company bank account in a timely manner, and
  • reconcile petty cash regularly.

Staff Supervision & Training

  • Assign job responsibilities, monitor progress, and provide monthly Professional Development Sessions (PDS).
  • Identify training needs, update performance records, and onboard new staff in systems like Agentcis and Birdeye platforms.

Logistics Management

  • Ensure equipment (desks, computers, printers, etc.) is maintained and fully operational.
  • Manage supply inventory (stationery, cartridges, etc.) and ensure active subscriptions for platforms such as CRM, Adobe, Outlook, and university portals.

Health & Safety

  • Implement health and safety standards, conduct hazard assessments, and attend fire safety and evacuation training.

Networking & Marketing

  • Build and maintain partnerships with colleges, universities, insurance providers, and sub-agents.
  • Collaborate with the Marketing Manager to plan, assess, and report on annual marketing investments.

Legal Compliance

  • Ensure office operations adhere to Australian laws, company policies, and ethical standards.
  • Handle complaints as per company procedures and report serious issues to senior management.

Interstate & Offshore Support

  • Provide support to branch offices in Kathmandu (Nepal), India, Philippines, Vietnam Country Manager and Sydney office remotely to the branch managers.

Other Duties

  • Carry out tasks assigned by Senior Management in a timely and professional manner.

What We’re Looking For (Qualifications and Skills)

Proven experience in office operations and team supervision as office manager: (minimum 3 years).

  • Skills in Business Administration, Administrative Systems, Management and office.
  • Qualification Relevant associate degree, Advanced Diploma or Diploma
  • Knowledge of the education and migration industry is preferred.
  • Strong verbal and written communication skills in English. Knowledge of Nepalese,
  • Hindi and local language from Southeast Asia preferred as the majority of clients
  • come from Southeast Asia Background.
  • Leadership, and organizational skills.
  • Familiarity with CRM systems and Microsoft Office tools.
  • Ability to travel if required (domestic or international).
